Turbo Lead Tracker: how it handles your data

This notice describes one product. The full Auto iQ Privacy Policy, which governs everything here (who the controller is, the legal bases, how long data is kept, your rights, and how to complain), is at www.autoiq.co.uk/privacy-policy. If the two ever differ, the Privacy Policy wins.
The short version. The quotes you scan never leave your computer. The extension talks to two places only: your own Auto iQ Pathfinder board, where you send the lead, and Auto iQ's lab site, which holds a small daily count for the reports and passes on any feedback you choose to send.
Who is responsible
Auto iQ Limited is the data controller for the data described here, exactly as in the Privacy Policy. The data on your Pathfinder board is your garage's data, held on Auto iQ's software under your agreement with Auto iQ.
What the extension does
Turbo Lead Tracker is a Chrome extension for garages using Auto iQ's Pathfinder platform. It reads a quote PDF on your computer, shows you what it found, and on your say-so creates a lead row on your Pathfinder board with the quote attached. Its toolbar then helps you work those leads on the board: logging contacts, sorting, and reporting.
Quote PDFs
A quote you drop in is read entirely inside your browser. Nothing about it is sent anywhere until you press Send, and then it goes only to your own Pathfinder board, which you are already signed in to. Auto iQ does not receive, store or see the quote.
What the extension sends, and where
- To your Pathfinder board (auto-iq.v3.salemail.co.uk): the lead details you approved (the customer's name, vehicle and registration, the quote number, date and prices, the work quoted), the quote PDF, and the contact notes you log while working leads. This is your own account and your own data, exactly as if you had typed it in. The Privacy Policy's "Usage Data" line applies: the software keeps a record of which user took each action.
- To Auto iQ's lab site (turbo.autoiqlab.co.uk): once a day, a summary of counts for the reports' follow-through chart: how many items each staff member had per audit. Staff names and numbers only; never quote contents, customer details or vehicle details. Also, when you press the Feedback button, the message you typed, together with the email address you signed in to the lab site with, so we can reply.
The extension sends nothing else, to nobody else. It has no analytics, no advertising, and no tracking of its own.
Why (the legal basis)
Providing the software you have asked for is performance of our contract with you. The daily counts and the feedback route are our legitimate interest in supporting our clients and improving the product, as set out in the Privacy Policy's table of purposes.
What stays on your computer
Your settings (the board the scanner sends to, the flag-after window, the next-comms standard, the toolbar's layout and column widths) and a list of quote numbers already sent, which is what warns you about a duplicate. These live in your browser's own storage and are never uploaded. Removing the extension removes them.
Permissions, and why each is asked for
- activeTab and scripting: to put the toolbar on the Pathfinder page you are looking at when you click the extension's button.
- storage: to keep the settings above on your computer.
- cookies: to read the one sign-in token Pathfinder needs before it will accept a new row from the extension. It is read for that single site and used only for that.
- Access to auto-iq.v3.salemail.co.uk: to create the lead on your board and to open the toolbar there by itself.
- Access to turbo.autoiqlab.co.uk: for the daily counts and the Feedback button described above.
How long it is kept
Data on your Pathfinder board is kept under the retention rules in the Privacy Policy and your agreement for that platform. The daily counts on the lab site are kept while the reports need them and can be deleted on request. Feedback messages are read by Auto iQ staff and kept only as long as they are useful.
